This Privacy Policy explains how Protocol Academy ("we", "us") collects, uses, and safeguards your information when you use our professional-etiquette training platform. By creating an account or using the platform, you agree to the practices described here.
Information we collect
- Account information you provide: your name, email address, and password (stored only as a secure one-way hash — we never store your password in readable form).
- Profile details you optionally add, such as company, job title, and preferred language.
- Learning activity: lessons viewed, quiz answers and scores, case-study responses, voice-scenario transcripts and grades, achievements, and progress toward course completion.
- Usage data: log data such as sign-in times and general activity needed to operate and secure the service.
- Cookies strictly necessary to keep you signed in. We ask for consent before using any non-essential cookies.
How we use your information
- To provide the training service, track your progress, and issue certificates.
- To personalize your learning (for example, adapting difficulty and recommendations).
- To send service-related communications, and — only where permitted — product updates you can opt out of at any time.
- To maintain security, prevent abuse, and comply with legal obligations.
- For organizations that enroll members, to report aggregate and individual progress to that organization's administrators.
Service providers
We share information with a small number of processors strictly to run the platform:
- Cloud hosting and database (Microsoft Azure) — storing your account and learning data.
- Email delivery (Resend) — sending account, notification, and update emails.
- AI processing (OpenRouter and voice providers) — grading written case studies and powering voice-practice scenarios. Content you submit for grading is processed to return feedback.
These providers are bound to use your information only to deliver their service to us. We do not sell your personal information.
Data retention
We keep your account and learning data for as long as your account is active, and as needed to provide the service, meet legal obligations, and resolve disputes. You may request deletion of your account and associated data (see below).
Your rights
Depending on your location, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at support@protocolacademy.com.
Security
We protect your information with industry-standard measures, including password hashing, encrypted transport, access controls, and signed, time-limited links for private media. No system is perfectly secure, but we work to protect your data and to respond promptly to any incident.
Children
Protocol Academy is intended for professional use by adults and is not directed to children under 16. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above, and where appropriate we will notify you.
